Let patients book online, with reminders that cut no-shows

Blue Tea has built systems like this

The problem

Reception phones ring all morning, and missed appointments waste clinic time. Rebooking and reminder calls take hours every week.

What you get

Patients book, move and cancel online at any time and get reminders by text and email. Freed-up slots are offered to a waiting list.

Three ways to do it

Lowest cost

Booking page + email reminders

AI
None needed
Runs on
Zoho Bookings or Microsoft Bookings
Setup effort
Low

A stand-alone booking page with email reminders costs a few pounds per staff member per month.

Custom booking system

Local model to handle messages
Runs on
Custom patient booking portal on UK hosting
Setup effort
High

Built around complex clinic rules such as rooms, equipment and clinician skills, with patient data on UK servers you control.

£84 a month

£60 software + £24 AI and usage

Indicative monthly running costs, not quotes. They exclude VAT and any one-off build or set-up work. Claude usage is based on Anthropic’s list prices for Claude Sonnet 5.5 and Haiku 5.5; other figures are rough estimates prepared in October 2026.

How it’s built

  1. Define appointment types

Duration, clinician, room and any preparation the patient needs for each type.

  2. Turn on online booking

Use your practice system’s booking page if it has one, or add a booking tool linked to clinicians’ calendars.

  3. Add reminders

A text two days before and an email the day before are among the simplest ways to reduce no-shows.

  4. Handle replies automatically

AI reads replies, cancels or offers another slot, and passes anything clinical to reception.

  5. Fill gaps from a waiting list

When someone cancels, the next patient on the list is offered the slot automatically.

How it fits common tools

  • Microsoft 365 Outlook, Teams, SharePoint and Excel connect through Power Automate, and n8n, Make and Zapier all support them. Microsoft Bookings is included in most business plans.
  • Google Workspace Gmail, Calendar, Sheets and Drive have well-documented APIs and ready-made connectors in n8n, Make and Zapier.
  • Zoho Zoho Bookings, Forms, CRM and Sign all have APIs, and Zoho Flow links them together. Make and n8n have Zoho connectors too.
  • EMIS or SystmOne NHS GP systems only allow third-party integration through approved routes such as the IM1 programme. Automations usually sit alongside them rather than writing into them directly.
  • Private practice system Many private practice systems (e.g. Cliniko, Semble, WriteUpp) offer an API or Zapier/Make integration for appointments and patients. Check what your plan exposes before designing the workflow.
  • Xero or QuickBooks Both have open APIs and connectors in Make, n8n and Zapier, so invoices, payments and reminders can be automated.
  • Spreadsheets Fine as a starting point. Once the automation is live, move the data into a proper database or list so it doesn’t break when someone renames a column.
  • Paper forms Usually the biggest quick win: replacing paper with a phone or web form removes the re-typing entirely.

Watch-outs

  • Never let AI give clinical advice in replies. Route anything clinical to a person.
  • Health data is special category data under UK GDPR. Complete a DPIA and use suppliers that host data in the UK or EU.
  • NHS GP practices must use NHS-approved booking routes. This guide suits private clinics best.

Want this built for your firm?

Blue Tea is a UK-based software partner. We start with the problem, not the software: if an existing system already does the job, we’ll configure it. If it doesn’t fit, we’ll design and build something that does.

  • ISO 9001 and ISO 27001 certified
  • Strategy, design and engineering under one roof
  • No obligation. Just a conversation about your process.
