Write consultation notes with an AI scribe while you focus on the patient

Blue Tea has built systems like this

The problem

Clinicians spend a large part of the day typing notes, often after hours. Typing during a consultation also gets between you and the patient.

What you get

The consultation is transcribed and turned into structured notes in your format, ready to review and file.

Three ways to do it

Lowest cost

Custom scribe with Claude

AI
Speech-to-text + Claude Sonnet
Runs on
Secure web app + Anthropic API
Setup effort
High

Transcribe, then let Sonnet write notes in your exact template, such as SOAP. You pay per consultation, not per clinician.

£56 a month

£20 software + £36 AI and usage

Most private

On-premise scribe

AI
Local Whisper + local model
Runs on
Server in the clinic
Setup effort
High

Audio and notes never leave the building. It needs capable hardware and more set-up.

£40 a month

£40 software + £0 AI and usage

Indicative monthly running costs, not quotes. They exclude VAT and any one-off build or set-up work. Claude usage is based on Anthropic’s list prices for Claude Sonnet 5.5 and Haiku 5.5; other figures are rough estimates prepared in October 2026.

How it’s built

  1. Get consent right

Tell patients a scribe is in use, let them opt out, and record their consent.

  2. Capture audio securely

Record on an approved device. Audio is encrypted and deleted after transcription.

  3. Transcribe

Speech-to-text converts the conversation and separates clinician and patient.

  4. Draft the note

The model writes the note in your template (history, examination, plan) and highlights anything uncertain.

  5. Clinician reviews and signs

Nothing enters the record until the clinician has read and approved it.

  6. File in the record

Copy the note into your clinical system, or file it automatically where an integration exists.

How it fits common tools

  • Microsoft 365 Outlook, Teams, SharePoint and Excel connect through Power Automate, and n8n, Make and Zapier all support them. Microsoft Bookings is included in most business plans.
  • Google Workspace Gmail, Calendar, Sheets and Drive have well-documented APIs and ready-made connectors in n8n, Make and Zapier.
  • Zoho Zoho Bookings, Forms, CRM and Sign all have APIs, and Zoho Flow links them together. Make and n8n have Zoho connectors too.
  • EMIS or SystmOne NHS GP systems only allow third-party integration through approved routes such as the IM1 programme. Automations usually sit alongside them rather than writing into them directly.
  • Private practice system Many private practice systems (e.g. Cliniko, Semble, WriteUpp) offer an API or Zapier/Make integration for appointments and patients. Check what your plan exposes before designing the workflow.
  • Xero or QuickBooks Both have open APIs and connectors in Make, n8n and Zapier, so invoices, payments and reminders can be automated.
  • Spreadsheets Fine as a starting point. Once the automation is live, move the data into a proper database or list so it doesn’t break when someone renames a column.
  • Paper forms Usually the biggest quick win: replacing paper with a phone or web form removes the re-typing entirely.

Watch-outs

  • Read NHS England’s guidance on ambient voice technology and the DCB0129/DCB0160 clinical safety standards before you start.
  • AI can mishear drug names and doses. Always check them.
  • You’ll need a DPIA and a clear retention policy for audio.

Want this built for your firm?

Blue Tea is a UK-based software partner. We start with the problem, not the software: if an existing system already does the job, we’ll configure it. If it doesn’t fit, we’ll design and build something that does.
