Engineers · site inspections and field data

Capture site readings on a phone and sync them to the office automatically

Blue Tea has built systems like this

The problem

Engineers record readings on paper or in spreadsheets, then someone re-types them back at the office. It’s slow, error-prone, and the data arrives days late.

What you get

Readings, photos and locations captured once on site, checked on the spot, and visible in a web portal within seconds.

Three ways to do it

Lowest cost

Off-the-shelf form app

AI
Claude Haiku or Gemini Flash via Make
Runs on
Microsoft Forms or Google Forms + Make
Setup effort
Low

Free or cheap form tools replace paper today. Make pushes each submission into a spreadsheet and asks a small AI model to check it.

£9 a month

£9 software + under £1 AI and usage

Most private

Offline-first app on your own server

AI
Local model (e.g. Llama via Ollama)
Runs on
Custom app hosted on UK infrastructure you control
Setup effort
High

Readings and photos never touch a third-party AI service, which suits confidential client sites.

£45 a month

£45 software + £0 AI and usage

Indicative monthly running costs, not quotes. They exclude VAT and any one-off build or set-up work. Claude usage is based on Anthropic’s list prices for Claude Sonnet 5.5 and Haiku 5.5; other figures are rough estimates prepared in October 2026.

How it’s built

  1. Map the forms you fill in today

List every reading, unit, photo and sign-off the inspection needs. That list becomes the app’s data model.

  2. Build the mobile form with offline mode

Signal is often poor on site, so data saves on the phone and syncs when it’s back online.

  3. Validate at the point of capture

Range checks (e.g. CO₂ above your limit) and required photos stop bad data before it leaves site.

  4. Sync to a central database and web portal

The office sees each visit as it lands, filterable by client, site and date.

  5. Let AI review each visit

A small model checks readings against your thresholds and writes a two-line summary for the project manager.

  6. Alert the right people

Out-of-range results trigger an email or Teams message to the engineer in charge.

How it fits common tools

  • Microsoft 365 Outlook, Teams, SharePoint and Excel connect through Power Automate, and n8n, Make and Zapier all support them. Microsoft Bookings is included in most business plans.
  • Google Workspace Gmail, Calendar, Sheets and Drive have well-documented APIs and ready-made connectors in n8n, Make and Zapier.
  • Zoho Zoho Bookings, Forms, CRM and Sign all have APIs, and Zoho Flow links them together. Make and n8n have Zoho connectors too.
  • Field form apps Most field apps (e.g. GoCanvas, Fulcrum) can send each submission to an API or webhook, so data flows into reports and portals without re-typing.
  • Xero or QuickBooks Both have open APIs and connectors in Make, n8n and Zapier, so invoices, payments and reminders can be automated.
  • Spreadsheets Fine as a starting point. Once the automation is live, move the data into a proper database or list so it doesn’t break when someone renames a column.
  • Paper forms Usually the biggest quick win: replacing paper with a phone or web form removes the re-typing entirely.

Watch-outs

  • Test offline sync on real sites before rolling out.
  • The app can record calibration dates, but it can’t fix a faulty instrument.
  • Client site data may be confidential. Agree where it’s stored before you start.

Want this built for your firm?

Blue Tea is a UK-based software partner. We start with the problem, not the software: if an existing system already does the job, we’ll configure it. If it doesn’t fit, we’ll design and build something that does.
