Engineers · site inspections and field data

Turn field data into a first-draft assessment report in minutes

The problem

Writing up an assessment can take longer than the site visit. Engineers copy readings into templates, paste photos and rewrite the same boilerplate every time.

What you get

A report draft in your own template, with tables, charts and a written summary, ready for an engineer to check and sign off.

For standard reports, a smaller model writes the summary paragraphs for a fraction of a penny each.

Nothing leaves your network. Local models handle structured write-ups well, though the prose is less polished.

Indicative monthly running costs, not quotes. They exclude VAT and any one-off build or set-up work. Claude usage is based on Anthropic’s list prices for Claude Sonnet 5.5 and Haiku 5.5; other figures are rough estimates prepared in October 2026.

How it’s built

  1. Standardise your report template

Fix the headings, tables and placeholders the automation will fill: site, date, readings, findings.

  2. Keep field data structured

One row per reading in a database, SharePoint list or spreadsheet, with free-text notes in their own column.

  3. Generate tables and charts automatically

The workflow pulls the visit’s readings, builds tables and charts, and compares results with your limits.

  4. Ask the AI to write the narrative

Give it the data, the limits and two or three of your best past reports as examples. It drafts the summary, findings and recommendations.

  5. Engineer reviews and signs off

Drafts land in a review folder. Nothing goes to a client without a human check.

How it fits common tools

  • Microsoft 365 Outlook, Teams, SharePoint and Excel connect through Power Automate, and n8n, Make and Zapier all support them. Microsoft Bookings is included in most business plans.
  • Google Workspace Gmail, Calendar, Sheets and Drive have well-documented APIs and ready-made connectors in n8n, Make and Zapier.
  • Zoho Zoho Bookings, Forms, CRM and Sign all have APIs, and Zoho Flow links them together. Make and n8n have Zoho connectors too.
  • Field form apps Most field apps (e.g. GoCanvas, Fulcrum) can send each submission to an API or webhook, so data flows into reports and portals without re-typing.
  • Xero or QuickBooks Both have open APIs and connectors in Make, n8n and Zapier, so invoices, payments and reminders can be automated.
  • Spreadsheets Fine as a starting point. Once the automation is live, move the data into a proper database or list so it doesn’t break when someone renames a column.
  • Paper forms Usually the biggest quick win: replacing paper with a phone or web form removes the re-typing entirely.

Watch-outs

  • AI can misstate a figure. Keep numbers in tables generated straight from the data and let AI write only the words around them.
  • Record who reviewed each report for your quality trail.
